Export to MS Excel

 

 

The Export to Excel and Export to Text File commands are used to export data from a translation project to a Microsoft Excel spreadsheet (".xls" or ".xlsx" file) or to a text file (".txt" or ".csv").  Both

commands are accessed via the Export toolbar button (shown right) or from the File menu. They are provided in the Quick Launch view as well.

 

 

MS Excel – Export for External Translation

 

The Excel spreadsheet created by RC-WinTrans uses color in the columns, cells and text to provide better orientation and overview of content.  For example, read-only columns are colored in gray; previous source texts and a "changed source" translation status are shown in red to alert the translator to the necessity of checking and updating the translation.

 

To reduce translation efforts and costs items can be exported without including any repetitions.

 

 

Export Assistant – File Name and Data Page

 

The Export Assistant lets you adjust the export options to suit your needs and select the target language to be exported.  The Assistant has two pages: the File Name and Data page (Figure 1) and the Format page (Figure 2).

Elements of the File Name and Data page:

File Name

The name of the file to be used for exporting the selected data.  This can be the name of an existing file or of a new one, but a file name must be specified.  Locate and select a specific file using the Browse button.

Data

Selected item(s)

Check this option to export all items (translation units) currently (multiple-)selected in RC-WinTrans' Text Table view.

Selected file

Used to export all items (translation units) from the project file that is currently active in the translation project.  The name of the active file is shown in the field below the option element.

Project (all files)

Selecting this option to export translations for all the items in the active translation project.  Use the checkboxes to specify the state of the translation units (TUs) that will qualify for the export operation:

translated

Exports items with the translation status "translated" and "final."

®

not translated

Exports translation units that do not have the translation status "translated" or "final." These are, for example, items with the translation status "new," "needs-review," or "not translated."

®

changed source

Exports items with the translation status "changed source."  These are items that have already been translated but where the source text has changed since the translation was entered.

Options

Remove ampersand (&&) from source and target texts

Check this option to export the source and the translation without a hotkey specification (without the ampersand character ("&")).

Without repetitions

Use this option to export a given source text and its translation only once.  Any other occurrences of identical source and translation text pairs will be skipped.

Sort (A to Z)

Sorts the output alphabetically by source text.

Append data to end of file

Checking this box tells RC-WinTrans to append the exported data to the end of the selected file.  If it is unchecked a new file will be created.

Languages

A list of the project's target languages.  Check the boxes next to the languages for which data should be exported.

Additional Columns

Main resource ID/name

Check this option to export the main resource name of an item.

NOTE:  Exporting this data is recommended.  The main resource name can be and often is used to identify the item when importing translations from the file into RC-WinTrans.

Resource name/ID

Select to export the item name/ID.

Resource type

When checked, this option specifies that an item's resource type will be exported.

Source file name

Check this option to export the name of the source resource file to which an item belongs.  Exporting the file name is recommended.  The file name can be and often is used to identify the item when importing translations from this file into RC-WinTrans.

Previous source text

Select to include the previous source text among the exported data.  "Previous source text" refers to the source text that existed for the item before the source text was modified.  A previous source text exists when the current source text is either new or changed.  In this case the item has the translation status "changed source."

Translation state

Used to include an item's translation status among the exported data.

Notes

Select to export an item's note/description.

Separator  (Text Files Only)

Select the character to be used as the separator between the columns exported to the text file (comma, tab, or semicolon).

Put text in quotation marks  (Text Files Only)

Check this option to export each column text inside quotation marks.

Preview

Interactive display providing a preview of the file data as it will appear in the exported file.  Arrange the data columns by clicking on and dragging a column header to the desired position.
